General & Business

Business name
Main Street Grill

Set by your licence and cannot be changed here.

How the registers look and work. One style for the whole store, and it does not change what your shop has bought.

Logo

No logo set - the business name is shown instead.

Buttons, switches and links use this. Pick one that suits the background you uploaded.

The grey explanations under headings and switches. Turn this off once your staff know the app - warnings, and anything telling you why a button will not work, stay put either way.

Background

Used by the SnapPOS Glass theme - upload a photo to show behind the frosted cards instead of the default background.

No custom background set - the default SnapPOS Glass background is shown.

Hardware & Terminals

Hardware

Lets the cashier read a weight straight into the quantity box instead of typing it.

Card Terminal

Card Terminal (Datacap) Connection

The terminal sits on this shop's network - read its address off the pad's own screen. Leave blank to keep taking cash only.

Card Terminal Maintenance

Sent to the terminal as soon as you press. Neither moves money. Reset the pad if it is stuck mid-prompt and refusing sales; download parameters after your processor changes something.

Stations

Extra screens around the shop: another register, a customer display or a kitchen screen. Each is paired once to its job and then opens straight to it, without a login.

http://restaurant.demo.snappos.net/station

Or install SnapPOS Station on a tablet, or use the SnapPOS Register kiosk on a PC. The screen asks what it is for and needs a manager's PIN. To change it later, hold its top-left corner for 3 seconds (Ctrl+Alt+S on a keyboard).

  • Register — A till. Cashiers log in as usual.
  • Customer display — Faces the customer: the basket and total as items are rung up. Preview
  • Kitchen screen — For the cooks: open orders, tap to bump each one when it is done. Preview
Kitchen Screens

Give each kitchen screen its own orders: one for the grill, one for the fryer, or one for dine-in and one for the drive-thru. A line screen shows only its dishes and bumps only for itself. An Expo screen sees whole orders, shows which lines are done, and clears them.

No screens set up: the kitchen screen shows every order, as before.

Every order on the kitchen screens counts up from when it reached the kitchen. Oldest orders are shown first.

Expo sees every dish of an order, with a mark for each line that has finished, and its Done clears the order everywhere. Without an Expo, an order clears when every line that showed it is done.

A screen can have its own network kitchen printer (its address, e.g. 192.168.1.50, or 192.168.1.50:9100). Once any screen has one, kitchen tickets print at the stations - each printer gets only its own dishes, an Expo printer the whole order - and no longer on the counter printer. A station can be a printer with no screen.

A kitchen station picks its screen when it is paired (hold the top-left corner of the screen for three seconds). A logged-in browser picks it from the top of the kitchen screen.

Receipt Printing

Set this to match the printer. A full-page layout sent to a till roll prints with the right-hand side cut off.

Once a receipt printer is set as this computer's default printer, turn this on and receipts print straight to it. SnapPOS sets the browser preference for you - the print box cannot be switched off from a web page.

No Firefox profile found on this computer. If the till uses Chrome or Edge, launch it with --kiosk-printing instead.

Receipt Printer

Where receipts and kitchen tickets come out. Leave it on the browser and the till PC prints them the way it always has - a tablet cannot, which is why the other options exist.

Payments & Taxes
On: the price you enter for an item is what the customer pays, and the tax is calculated out of it. Off: tax is added on top at checkout.

Tax Rates

Add a named rate for goods taxed differently from the default, then assign it to an item on the Items page.

NameRate
Default 8.25% Set above; used by any item without its own rate.

Card Payments

Turns on card-payment support only if an approved terminal is connected.

Online Payments (Invoices & Cards on File)

Lets customers pay an emailed invoice, and lets a card kept on file be charged. Datacap give you the merchant ID and token key when they set you up.

Lets customers pay an emailed invoice straight from their bank instead of a card, which costs you far less on a regular monthly bill. Needs its own merchant ID from your processor — leave blank to offer cards only.

Enter the merchant ID and token key, save, then come back to finish setup.

Card Surcharging

Adds a fee to credit card payments to offset processing costs. The terminal checks the card first and never surcharges a debit card.

Surcharging is not legal in every state and the card networks cap it. Check your own state's rules before turning this on, and note it needs NETePay Hosted from your processor.

Tipping

Asks the customer for a tip on the card terminal after the amount is shown. The customer chooses on the pad, not the cashier on this screen.

Four percentages, separated by commas. The terminal shows them as buttons priced from the sale, plus “Other” and “No”. Fewer than four working values and the terminal just asks for an amount.

For servers who take the card away and bring back a slip to sign. Turn this on only once your processor and card terminal are confirmed to allow tip adjust.

Open tab holds this much on the guest's card, and raises it by the same amount as the ticket grows.

Card Payments When the Internet Is Down

Lets the card terminal keep taking payments when it cannot reach the processor, and send them once the connection is back.

An offline payment is not approved yet — the terminal accepts it and sends it later, and it can still be declined then. Keep the limits low enough that you could absorb the loss. Surcharges do not work offline.

End-of-Day Batch

Card payments are only paid out to your bank once the day's batch is closed. Close it when you close the day, or at a set time each night if you sometimes forget.

Notifications & Alerts

Turn on the ways you want to be told about low stock and short drawers. Switch a channel off to mute it without losing its settings.

Enter your email server details once - every notification below uses this same connection and recipient.

Free, and quicker to set up than text messages. In Telegram, message @BotFather to create a bot and copy its token, then send your new bot any message and paste the chat ID here.

Enter your Twilio details once - every text notification below uses this same account and phone number. (Backups can't be sent by text, so that one is email-only.)

Add-ons & Backup
Need a licence? Contact SnapPOS support at support@snappos.net

Add-ons

Keeps a record of who bought what, and lets you send quotes, invoices and statements. Off leaves the till exactly as it is now.

Only customers with an email address on file are chased, and each invoice is chased at most once per interval.

Customers earn points on what they spend and redeem them as money off at the till. Points accrue on the sale after tax and after any discount.

Reminders, points updates and offers by email, sent only to customers who agreed. Tick "Email me offers and reminders" on a customer to sign them up.

For sit-down service: name a ticket, send it to the kitchen before it is paid, add more rounds, and pay at the end. Includes the kitchen screen, auto gratuity, tip on the slip and Timecards.

With servers signing in by PIN, the register asks for a PIN again after this long with no touch. 0 turns it off.

Each order is marked Dine in, To go or Drive-thru with one button in the order header. It shows on the kitchen screen, the kitchen ticket and the receipt, and kitchen screens can be set to show only some types. Each register remembers the last one it used.

Run more than one till on the same shop network, each with its own cash drawer, sharing one inventory. Leave off for a single register.

Staff clock in and out on the till. Hours show up on History and export with the rest of the day's records. The Clock in/out button only appears while this is on.

Backup

Exports a complete, point-in-time copy of the database - inventory, sales history, everything. Keep it somewhere other than this computer.

A backup is only as safe as where you keep it. Copy the exported file to a USB stick or another drive - not just this PC, which is the one thing a fire, theft or a dead disk takes along with the till.

Updates

This computer runs SnapPOS 2.3. Updates are free for licensed stores, and install only when you ask.

Restore from backup

Replaces ALL current data (inventory, sales, settings) with a backup file. A safety copy of the current data is saved first. Use this only to recover a broken install or move to a new computer. Backups leave out your email password, Telegram token and merchant ID on purpose, so those few settings need entering again after a restore.

Staff & Security

Admin Password

Create new password to secure system. Settings are reachable over your local network.

Recovery Code

A code to get back in if the admin password is ever lost. Generate it, then write it down and keep it somewhere safe, off the till. On the login screen, Forgot password uses it to set a new password.

No recovery code yet - generate one and store it somewhere safe.
